Refund, Cancellation & Subscription Policy

This Refund, Cancellation & Subscription Policy (“Policy”) governs the purchase and use of subscription plans, recruitment services, platform access, software services, and related offerings provided by Hirevoo Marketing and Consultancy Private Limited (“Hirevoo”, “Company”, “we”, “our”, or “us”).
By purchasing any service, subscription, package, or solution from Hirevoo, you acknowledge and agree to this Policy.
1. Nature of Services
Hirevoo provides digital recruitment solutions, applicant tracking systems, hiring management tools, candidate sourcing support, employer branding solutions, hiring analytics, recruitment workflow management, and related technology-enabled services.
As Hirevoo primarily offers digital services and subscription-based products, access to services may commence immediately upon activation.
2. Subscription Fees
All subscription fees, onboarding charges, activation fees, service fees, consulting fees, and other applicable charges shall be payable in advance unless otherwise agreed in writing.
Applicable taxes, including GST, shall be charged separately wherever required under applicable law.
3. Refund Policy
Due to the nature of digital services, software access, onboarding efforts, resource allocation, and platform provisioning, payments made towards Hirevoo services are generally non-refundable once the service has been activated or access has been granted.
However, Hirevoo may review refund requests on a case-by-case basis in exceptional circumstances.
4. Eligible Refund Requests
Refund requests may be considered under the following circumstances:
4.1 Duplicate Payment
Where a customer has accidentally made multiple payments for the same service.
4.2 Incorrect Billing
Where an incorrect amount has been charged due to a technical or billing error attributable to Hirevoo.
4.3 Non-Provision of Service
Where Hirevoo is unable to activate or provide the purchased service due to reasons solely attributable to Hirevoo.
Any approved refund shall be processed through the original payment method subject to applicable banking timelines.
5. Non-Refundable Circumstances
Refunds shall generally not be provided for:
- Change in hiring requirements
- Internal hiring freeze
- Business restructuring
- Budget constraints
- Lack of platform usage
- Dissatisfaction arising from recruitment outcomes
- Candidate availability issues
- Candidate response rates
- Offer rejections
- Candidate dropouts
- Delays caused by customer-side processes
- Failure to use available platform features
- Early discontinuation of hiring activities
6. No Guarantee of Hiring Outcomes
Hirevoo provides technology-enabled recruitment and hiring support solutions.
The Customer acknowledges that Hirevoo does not guarantee:
- Candidate applications
- Candidate availability
- Candidate quality
- Interviews
- Offer acceptance
- Candidate joining
- Hiring success
- Employee retention
Hiring outcomes depend upon several factors outside Hirevoo’s control, including market conditions, job specifications, compensation structures, employer responsiveness, candidate preferences, and hiring practices.
Accordingly, hiring outcomes shall not constitute grounds for refunds or compensation.
7. Multi-Month and Annual Subscriptions
Customers purchasing discounted multi-month or annual subscriptions acknowledge that such plans are offered based on a longer-term commitment.
Customers may choose not to renew such subscriptions upon expiry.
Early termination requests may be submitted; however, unused subscription periods are generally not eligible for prorated refunds unless otherwise approved by Hirevoo.
8. Cancellation Policy
Customers may request cancellation of future renewals at any time by providing written notice.
Cancellation of future renewals shall not affect:
- Active subscription periods
- Services already delivered
- Fees already paid
- Outstanding invoices
9. Chargebacks and Payment Disputes
Customers are encouraged to contact Hirevoo directly for resolution of billing concerns before initiating any chargeback, payment reversal, or dispute with a payment provider.
Hirevoo reserves the right to provide relevant records, invoices, service logs, onboarding records, platform usage records, and communication records in response to any payment dispute.
10. Service Upgrades
Customers may upgrade their subscription plans during the active subscription period.
Additional charges, if applicable, shall be communicated at the time of upgrade.
Downgrades may become effective at the end of the current subscription cycle.
11. Modification of Policy
Hirevoo reserves the right to amend or update this Policy from time to time.
Updated versions shall be published on the Platform and shall become effective upon publication.
